Organisation & Clinic Deletion Updates

This article explains the enhanced deletion process for organisations and clinics in Panacea (version 4.9.7+)

Overview

Panacea now implements soft deletion for organisations and clinics:

  • ✔️ Deleted items remain recoverable for 30 days

  • ✔️ Audit logs track all deletion activity

  • ✔️ Billing adjustments are prorated automatically

How Deletion Works Now

Step-by-Step Deletion Process

  1. Navigate to SettingsOrganisations (or Clinics)

  2. Select the entity you wish to delete

  3. Click Delete and confirm the action

  4. Receive on-screen confirmation

Important Restrictions:

  • You cannot delete your currently active organisation/clinic

  • A replacement entity must be created first (see "Critical Requirements" below)

  • Only clinic's Admins and it's Owner are able to the delete the records

Data Recovery During 30-Day Window

To restore a deleted organisation/clinic:

  • Please contact Panacea Support to initiate the recovery process

Critical Requirements

Before Deleting

  1. Create a replacement organisation/clinic first

  2. Migrate users/data as needed

  3. Switch active sessions to the new entity

Billing Impact

  • New clinics are immediately added to your billing cycle (prorated as needed)

  • Deleted clinics:

    • Status automatically changes to "Suspended" (read-only mode)

    • Immediately removed from billing upon deletion

    • Retain all data for 30 days in recoverable state

Alternative to Deletion: Suspension

If you want to:
✔️ Remove a clinic from billing without deleting it
✔️ Preserve access to historical data
✔️ Avoid using your 30-day recovery window

Use the Suspend Clinic option instead:

  1. Navigate to Settings → Clinics

  2. Select the clinic and click "Suspend"

  3. Confirm to:

    • Disable new activity

    • Remove from billing calculations

    • Retain full access to records

Note: Suspended clinics can be reactivated at any time with no data loss.
